Essential Job Duties

The primary purpose of the HR Administrative Assistant is to provide comprehensive support to the Facilities Division at NC State University. This role is essential in delivering prompt and personalized customer service and administrative assistance to all visitors and staff. The HR Administrative Assistant will gain foundational knowledge of the human resources profession by supporting various HR functions, including scheduling, reporting, tracking, and maintaining effective communication. Additionally, the role requires ensuring the confidentiality of sensitive information while handling daily administrative tasks that contribute to the smooth operation of the HR office.

Key responsibilities and duties include but not limited to:

  • Serve as the primary point of contact for the Facilities Human Resources (FHR) office, assisting visitors and vendors.
  • Provide comprehensive administrative support to the Facilities HR Director, HR Supervisor, and FHR staff for various personnel matters.
  • Utilize AiM, Word, Excel, Google Suite, and OnBase to generate shoe vouchers, track and monitor shoe distribution, and manage safety shoe program logistics.
  • Oversee the Recognition/Service Awards program, ensuring timely coordination and communication.
  • Assist with the training program by tracking and monitoring employee training classes, certifications (internal and external), and maintaining up-to-date records.
  • Input accident and near-miss information into the database, and generate detailed reports on incidents and claims as needed.
  • Run reports from internal databases to track the status and time frames for individual HR actions and claims.
  • Schedule confidential meetings between employees and HR leadership, ensuring discretion and sensitivity in handling sensitive matters.
  • Produce specialized HR reports for FHR personnel and Facilities supervisors/managers on HR issues, special programs, and other miscellaneous topics as directed.
  • Perform general office tasks such as copying, filing, ordering supplies, answering phones, and directing visitors.

Other Responsibilities

  • Other duties as assigned.

Minimum Experience/Education

High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Other Required Qualifications

  • Must be able to maintain confidentiality.
  • Must have knowledge of HRIM, Microsoft Office and Google Suite.
  • Must be able to work in a fast paced environment and multi-task.
  • Must be able to prioritize.
  • Must have the ability to direct and address the concerns of different audiences and communicate effectively verbally and in writing.

Preferred Qualifications

  • Previous experience in a busy human resources office environment.
  • Human Resources office experience preferred.
