Economics and Business - Office Manager

Job Description

The Department of Economics and Business Office Manager is responsible for the coordination of all administrative, technology, and support functions for the Department of Economics and Business.
Primary Responsibilities
  • Manage curricular administration support for Accounting, Economics & Business academic programs working closely with (and supporting) the Department Chair and Section Heads. This includes semester course scheduling, enrollment management, screening of pre-requisites and co-requisite report after enrollment closes, workload reports, adjunct faculty requests, and assisting with submission of new course proposals.
  • Oversee administration of department finances including reimbursements and credit card payments insuring appropriate categorization of expenses against budget categories. This also includes a significant number of discretionary funds specific to co-curricular programs, research, etc.
  • Provide support to the Department Chairperson & SFC Leadership Team as needed. This includes meetings schedules as well as Department agenda preparation (including staff updates)
  • Search and promotion support. Request, organize and assist department faculty with promotion and tenure process. Help organize and expedite candidate searches for department faculty positions including advertising positions, correspondence with candidates, and scheduling of their multi-day visits.
  • Responsible for the processing of department major and minor applications, advisee assignments, major/minor enrollment communication, and group student advising sessions.
  • Responsible for the recruiting, hiring and supervision of department student workers (payroll records, work schedules) as well as summer student researchers (SHARP). Conduct student orientation training and maintain student manual.
Additional Responsibilities
  • Responsible for the functioning of the dept. office, break room, conference rooms and office services. Coordinate all office moves, renovations, etc. Develop department Google calendar of extensive events (8 of every 10 weekdays)
  • Support for critical annual administrative needs. These include support for selection for global programs (e.g., London, Japan/Vietnam and other department May Terms), assisting with annual report tracking annual graduate statistics, and supporting faculty during scholarship selection process and facilitating the annual Student Awards Program, PBK and ODE.
  • Handle hospitality arrangements for a variety of department social events (semester kick-off, promotion/tenure celebrations, Christmas part, retirements and graduation events).
  • Work with other Department staff (e.g., Director of External Relations, Marketing and Communications specialist, and others) to support programs as needed and provide website content maintenance and summaries of department activity.
  • Order the maintenance and repair of office equipment and make recommendations for the purchase and disposal of office equipment, furniture and similar items related to the operation of the departmental office.

Qualifications

  • Bachelor’s degree with a minimum 5 years office experience
  • Organization and management skills — planning, coordinating, dealing with detailed and multiple projects
  • Excellent communication and public relations skills
  • Mastery of Microsoft Office (Word, Power Point, Excel)
  • Knowledge of general office procedures and managing modest budgets
  • Planning, assigning and checking the quality and quantity of work performed by student workers
  • Supervisory experience (preferred) – students

Physical Demands

This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
