Program Administrator

Job Description

The Johns Hopkins Urban Health Institute (UHI) was established in 2000 by President Brody in response to a recommendation from the Urban Health Council - a group composed of community residents, clergy, local leaders, city officials, business representatives and JH faculty, staff and students. The UHI was created to be a catalyst for conversation, for collaboration, capacity building and ultimately, for change. UHI is a university wide initiative and is funded by several school across the university as well as the health system.


UHI is seeking a Program Administrator to support the mission and work of the Johns Hopkins Urban Health Institute through comprehensive program planning and implementation. The Program Administrator reports to the Operations Director to accomplish the goals and objectives set forth for programmatic activities. The Program Administrator provides day-to-day support of various ongoing, and the development of new, UHI projects and activities.


Specific Duties & Responsibilities


Programs & Initiatives

  • Bunting Neighborhood Leadership Program - Established in 2016, the Bunting Neighborhood Leadership Program (BNLP) was launched as a yearlong fellowship designed to equip the next generation of Baltimore’s community leaders with the knowledge, skills, and tools necessary to lead transformational change.
  • Work with UHI Associate Director and Operations Director on the Fellowship to operationalize and coordinate the program
  • Coordinate application process (track incoming proposals, review for completion, review scoring, schedule interviews, etc.)
  • Prepare, record, and keep documentation for fellows (contracts, evaluations, attendance records, etc.)
  • Work with the finance team to process payments to the fellows and their employers.
  • Coordinate the instructors' documentations (contracts, lesson plans, session materials, etc.) and process payments.
  • Process orders for materials for meetings, instruction, and graduation.
  • Manage logistics for meetings—arrange for space, AV, meals, and prepare name tags, table tents, certificates, and internships.


Community Capacity Building Workshops

  • Work with UHI Associate Director and Operations Director to operationalize and coordinate the workshops.
  • Support the teaching processes by managing schedules, communicating the expectations and logistics.
  • Prepare, reproduce, and disseminate lesson plans and training materials,
  • Collect and record completed documentation, homework, etc.


Funding Opportunities

  • Coordinate and track UHI funding opportunities; Baltimore Health Equity Impact Grants, UHI-SOURCE Student Grants, UHI Grantee Showcase
  • Monitor the review process with UHI Operations Director and Associate Director (track incoming proposals, review for completion, reviewer assignments, scoring, etc.)
  • Prepare, record, and keep documentation for awarded grants (proposal, notice of award, terms and conditions, etc.)
  • Track grant progress and follow up with grantees as needed.
  • With UHI Operations Director and Associate Director review progress report and disburse grant funds.


Miscellaneous

  • Plans and coordinates on- and off-campus special events, including lectures, workshops, seminars, and meetings.
  • Develops, maintains, and oversees timelines for all special projects, ensuring timely delivery of deliverables.
  • Works with the Operations Director and Communications Associate to maintain and expand the UHI's diverse network.


Minimum Qualifications
  • Bachelor's Degree.
  • Two years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

 


 

Classified Title: Program Administrator 
Role/Level/Range: ATP/03/PB  
Starting Salary Range: $46,200 - $80,800 Annually ($60,402 targeted; Commensurate with experience) 
Employee group: Full Time 
Schedule: M-F, 8:30-5:00 
Exempt Status: Exempt
