During the 2024 fiscal year, researchers at the University of Notre Dame submitted 1,310 proposals for external research funding for a total amount of $1.016 billion — the first time the University has surpassed the billion-dollar mark for proposals. In addition, the University received 829 separate awards — the largest number on record. With $223 million in total funding, these awards propelled the University past the $200 million mark for the fourth straight year. To support this immense growth, Notre Dame Research is recruiting talented research administration professionals to enhance the team that will steward our research enterprise into its next phase.

Notre Dame Research Administration and Compliance seeks an Award Intake Project Specialist (AIPS) who will be responsible for setting up and managing research funding awards within the institution’s electronic system. This role involves ensuring accurate and timely processing of awards, maintaining compliance with institutional and sponsor guidelines, and providing support to researchers and administrative staff. The AIPS will work closely with various stakeholders to facilitate the efficient administration of research grants and contracts.

Key Responsibilities:
  • Award Setup and Management:
    • Input and configure research funding awards into the electronic grants management system.
    • Verify award details, including budget, terms, and compliance requirements, to ensure accuracy and completeness.
    • Maintain and update award records, tracking modifications, and renewals.
  • Compliance and Documentation:
    • Ensure all award setups comply with institutional policies, sponsor requirements, and federal regulations.
    • Review and process award documents, including contracts, cooperative agreements, and grants.
    • Coordinate with compliance officers to address any issues related to regulatory requirements or institutional policies.
    • Assist federal award reporting, to include FFATA reporting.
  • Communication and Support:
    • Serve as a point of contact for researchers and administrative staff regarding award setup and management.
    • Provide guidance on award administration processes and assist with any questions or issues.
  • Process Improvement:
    • Identify opportunities to streamline and improve award setup and management processes.
    • Develop and implement best practices and standard operating procedures to enhance efficiency and accuracy.
    • Stay informed about industry trends and changes in funding regulations to ensure ongoing compliance and optimization of processes.

Minimum Qualifications


Education and Experience:
  • Bachelor’s degree in Business Administration, Finance, Public Administration, or a related field, or related work experience.
  • Minimum of 2-3 years of experience in research administration, grants management, or a related field, preferably within a higher education or research institution.
Skills:
  • Proficiency with electronic grants management systems and related software.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Familiarity with federal regulations and institutional policies related to research funding.

Preferred Qualifications

A Master’s degree or relevant certification (e.g., Certified Research Administrator) is a plus.
