The Facilities Assistant will help oversee and manage the day-to-day operations of our San Diego building. They are also responsible for all the mail duties in the building and coordinate all vendor activity related to upkeep/repairs in the building. This position reports to the Office Manager. The position is based out of the San Diego office five days a week.
What You Will Be Doing:
Building Operations:
  • Full responsibility for the mail room, including but not inclusive of mail delivery, supply ordering/tracking, coordination with FedEx, UPS, USPS, etc.
  • Assist Vendors and Employees with loading and unloading of items/equipment as needed.
  • Coordinate book donations, ensuring books are neatly boxed up and organized for pick up.
  • Manage office and kitchen supplies. Keep track of inventory and order as needed.
  • Document and ensure all facility first aid kits are properly stocked with non-expired items.
  • Supervise the Janitorial Service, Waste Management, and Iron Mountain.
  • Help manage building upkeep/repairs, including entering/tracking of Irvine work orders.
  • Help manage/coordinate IT Tape backups/refill on a weekly basis.
  • Help with event set-up/take down. Communicate to staff as necessary.
  • Facilitate and help coordinate any building inspections.
  • Ensure HR notices are properly displayed. Take pictures for HR as instructed.
  • New and departing employee/temp responsibilities; ensure assigned tasks are carried out.
  • Inform supervisor of daily needs, problems, and employee feedback
  • Perform all related duties as assigned by supervisor
Credit Card Support and Invoice Coding:
  • Help manage the monthly credit card bill. Code entries and organize/procure receipts.
  • Ensure monthly critical deadlines are met for this project.
  • Work with accounting to code properly the invoices related to the building.
  • Other duties may be assigned, directed, or requested.
What You Will Need:
  • High school diploma of GED required.
  • Must be able to lift and carry 30 lbs. for 25 yards.
  • Strong analytical and research skills.
  • Flexible and adaptable, able to change and alter according to changes in projects or business environment and able to complete multiple duties with accuracy shifting from one to another with frequent interruptions and competing deadlines.
  • Ability to work independently and prioritize duties with minimal supervision, in order to meet deadlines.
  • Ability to understand and follow specific instructions and procedures.
  • Basic Knowledge of Microsoft Office (Excel & Word) and Outlook required.
Physical Requirements:
  • Work could be performed while sitting, standing, or walking.
  • Ability to bend and stand for long periods of time is needed.
  • Work performed will entail fine manipulation of hands and/or fingers, as well as repetitive hand action. It will additionally entail bending, twisting, squatting, and climbing, as well as upper and lower body mobility.
  • The work performed is typically in an office environment.
  • The noise level in the work environment is usually moderate at low decibels.
  • Must be able to work in a fast-paced, team environment.
Language Skills:
  • Must have excellent communication skills, both written and verbal.
  • Ability to read and interpret documents such as instructions and procedure manuals.
  • Ability to speak with all levels of the organization and outside partners.
  • Ability to create sales analysis reports and product presentations.
Mathematical Skills:
  • Must be proficient in basic mathematics: addition, subtraction, multiplication, and division.
Reasoning Ability:
  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form.
  • Ability to deal with problems involving variables.
  • Ability to identify and resolve problems in a timely manner, gathers and analyzes information skillfully and maintains confidentiality.

    Hourly Rate:$21.46 - $28.85
