The Worker Education and Resource Center, Inc. (WERC) is a 501(c)3 non-profit organization

originally founded in 2002 in partnership with the Service Employees International Union, Local 721 and the Los Angeles County Department of Health Services.

WERC is currently looking to fill the full-time position of:

Office Manager & Human Resource Generalist

· The working hours are 9:00am to 5:30pm Monday to Friday.

· This is an optional hybrid position with at least four (4) required days working in-office and one (1) optional benefit day of working remote.

· The hybrid schedule is subject to change based on the needs of the business.

· We are located in Pico Union/Westlake area, adjacent to Downtown Los Angeles.

· Remote work must be done with a dedicated workspace that provides the same confidentiality as that offered within the office environment.

· Candidates offered employment that choose to work remotely on any days offered are required, while working remote, to have the non-public access necessary office tools including internet access at their remote location to perform the essential duties and responsibilities. Examples are high-speed internet connection, printer, scanner adding machine and telephone along with the necessary office supplies.

· Candidates offered employment will also have the option of working in the office with zero (0) remote days and all supplies being provided within the office.

· For candidates offered employment, remote work is not allowed to occur more than 50 miles away from the business address without prior written approval.

· Candidates for this position must complete a criminal background check and pass a financial credit check.

Job purpose The Office Manager & Human Resource Generalist provide administrative and HR support to the organization while reporting to the Director of Finance & Human Resources. This position is also responsible for program and office related purchasing, insurance renewals, employee open enrollment, and new hire onboarding. Because this position wears many hats we are seeking someone with proven multitasking abilities and a proven track record of verifiable experience.

A Sample of Duties and Responsibilities

· Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.

· Manage portions of the recruitment process, including sourcing and onboarding.

· Support HR Structures and processes that will improve the employee experience, supports operations, streamline administration and improve overall productivity.

· Assist with the processing of bi-weekly payroll via ADP

· Provide feedback to leaders on effective communication of priorities, setting expectations, allocating resources, removing barriers, delivering feedback, recognizing performance, and ensuring accountability for meeting expectations.

· Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.

· Conduct employee investigations, counseling and disciplinary actions when necessary.

· Develop and communicate HR policies and procedures ensuring alignment with legal requirements and company objectives. Spearhead employee communications initiatives to promote transparency, engagement and a positive work environment.

· Administer employee group benefits and conduct open enrollment meetings for medical, dental, vision, life insurance and 401(k). Counsel employees on benefit-related issues. Oversee monthly insurance billings.

· Lead in-office team building activities and events.

· Research and stay up to date with regulatory employment compliance and keep Director of Human Resources informed as to changes that will have an impact on the organization.

· Oversee day-to-day office operations.

· Provide direct administrative support as needed, including scheduling appointments, meetings, events, booking travel, and coordinating lunch/catering.

· Manage relationships with office vendors, service providers, and landlord.

· Coordinate and liaise with outside IT Consultants on all office equipment.

· Maintain inventory and distribute company equipment (cell phones, laptops, etc.)

· Manage procurement processes for supplies, fixtures, and consumables.

· Execute safety, health, disaster prevention, and fire-related protocols.

· Manage space planning, parking assignments, office sharing, schedules of remote work etc.

· Maintain electronic filing system for contracts and grant related material.

· Assist with Board of Directors and Committee meetings.

· Other duties as assigned.

Qualifications

· Bachelor’s Degree and a minimum of five (5) years of progressive HR experience.

· This position requires that you have held previous titles in Human Resources as well as Office Management experience. This requirement is non-negotiable.

· Have the equivalent combination of education and experience to successfully perform the essential duties and responsibilities of the job.

· Exhibits “above the line” behaviors and attitudes such as accountability, ownership, honesty, integrity, collaboration, and proactive problem solving.

· Knowledge of federal and state laws related to employment and labor (OSHA, EEO, CFRA, FMLA, ADA, etc.) regulations and compliance, broad understanding of HR principles and practices

· Ability to prioritize and multitask multiple deadlines, changing priorities and deadlines.

· Strong organizational skills are an essential requirement of this position.

· Proper email etiquette and the ability to respond timely regardless of the workload.

The physical requirements indicated below are examples of the physical aspects that the position must perform in carrying out essential job functions.

· Persons performing service in this position will exert 10 to 20 pounds of force frequently to lift, carry, push, pull, or otherwise move objects.

· This type of work involves a combination of constantly sitting, walking, and standing for periods of time.

· The ability to remain in a stationary position for long periods of time while constantly operating a computer, mouse and other office productivity machinery including a calculator, copy machine, and computer printer.

· Frequently move file cabinet drawers to open and close, moving of company files and information binders and or boxes up to twenty (20) pounds across the office for various filing projects and or meeting/event needs.

· The ability to frequently work in a moderate to high noise level environment.

· The ability to drive to and from the office to perform tasks related to the position.

To perform this job successfully, an individual must be able to: carry out each essential duty satisfactorily; help maintain a healthy work environment; initiate and maintain professional interactions and communication with WERC employees and others; and interact with all levels of organizational staff and management, outside auditors, community partners, and vendors.
